A seller who takes orders on WhatsApp ends the week with 400 messages. Some say "2 bags rice, send to Ikeja." Some say "same as last time." Some are voice notes. By Sunday night she can't say which product earned the most, who still owes her, or whether she made a profit.
This guide shows you how to turn that chat into a clean table and a one-page sales report. You can use a spreadsheet alone, or add an AI chat tool to speed up the typing. It also works as a paid service for other small sellers.
What a clean sales report needs
Before you touch any tool, decide what the final report must answer. For most small sellers, five questions are enough:
- How much did I sell this week or month, in naira?
- Which products sold most, and which barely moved?
- Who are my repeat customers?
- Who has paid, and who still owes me?
- Roughly how much profit did I make after the cost of goods?
Every column you create should help answer one of these. If it doesn't, leave it out.
Step 1: Export or copy the chat
WhatsApp lets you export a chat as a text file from the chat menu (usually under "More" then "Export chat"). Choose "without media". On a business account, the order chats are usually one per customer, so you may prefer to copy only the order messages into one document.
If your orders come in many separate chats, don't try to export all of them. Start with one week and one product group. A small, finished report beats a huge, abandoned one.
Voice notes need to be typed out by you first. Listen once, then write one line per order.
Step 2: Design the table before you fill it
Open Google Sheets or Excel and create these columns in row 1:
- Date (one format only, such as 26/10/2026)
- Customer (the same spelling every time)
- Product (use a fixed name list)
- Quantity (numbers only, no words)
- Unit price (₦)
- Total (₦) (a formula: quantity times unit price)
- Amount paid (₦)
- Balance (₦) (a formula: total minus amount paid)
- Delivery area (optional)
One row equals one product in one order. If a customer buys three items, that's three rows. This feels longer, but it is what makes totals and summaries work later.
Step 3: Use AI to turn messages into rows
An AI chat assistant is good at reading messy text and putting it in columns. The job is simple: you paste raw messages and ask for a table you can paste into your sheet.
First, protect your customers. Replace phone numbers and home addresses with a code or area name before pasting anything. Our guide on using AI at work without leaking customer data explains what to remove and why.
Then give clear instructions. A prompt like this works with most tools:
Below are customer order messages from WhatsApp. Turn them into a table with these columns: Date, Customer, Product, Quantity, Unit price, Amount paid. One row per product. Use only information in the messages. If something is missing or unclear, write "CHECK" in that cell instead of guessing. Product names must be one of: Rice 50kg, Beans 25kg, Garri 10kg, Palm oil 5L.
The fixed product list and the "CHECK" rule matter most. Without them, the tool may invent a price or spell one product three ways. For more on writing instructions like this, see prompting basics for everyday work.
Work in batches of 20 to 30 messages. Long pastes lead to skipped lines.
Step 4: Check the output against the chat
AI makes confident mistakes, especially with numbers and with messages like "same as last time". Never paste its table into your records without checking.
- Count the orders in the chat and count the rows produced. They should match.
- Spot-check five rows against the original messages.
- Fix every cell marked CHECK by asking the customer or looking at your payment alerts.
- Compare the total of "Amount paid" with your bank or POS app credits for the same period. If they differ, find out why before going further.
That last check is the one that catches most real problems, such as a transfer that never arrived or a payment recorded twice.
Step 5: Clean the data in the sheet
Even good output has small errors. Do these quick fixes:
- Same customer, different spellings. "Mrs Ade", "Mrs. Adeyemi" and "Ade Ife" may be one person. Sort the Customer column A to Z and unify the names.
- Numbers stored as text. If a column won't add up, it often contains text such as "₦5,000". Remove the symbol and commas so only digits remain, then format the column as currency.
- Duplicates. Use the "remove duplicates" tool, but only after confirming two identical rows aren't genuinely two separate orders.
- Dates. Make sure the sheet reads them as dates, not words. Sorting by date will tell you at once.
- Sales by product: Product as rows, sum of Total as values.
- Sales by customer: Customer as rows, sum of Total and sum of Balance as values. Sort by Balance to see who owes you most.
- Sales by week: Date grouped by week, sum of Total.
- Trusting AI totals. Let the spreadsheet do the arithmetic. Ask AI only to extract and structure.
- Pasting private details. Phone numbers, bank details and addresses don't belong in a public AI tool.
- Free-text product names. "Rice", "rice 50", "Big rice" will split into three lines in your pivot table.
- Recording sales but not payments. A sale isn't income until it's paid. Keep the paid and balance columns.
- Starting too big. Do one week first, fix the process, then add history.
- Not backing up. Keep the sheet in Google Drive, not only on a phone that may be lost.
If these formulas feel new, the spreadsheet skills guide covers the basics you need.
Step 6: Build the report with a pivot table
A pivot table summarises thousands of rows in seconds. In Google Sheets or Excel, select your data, choose Insert, then Pivot table. Build three views:
Add a small box at the top of a new sheet with total sales, total collected, total outstanding, and number of orders. Then add one chart, such as a bar chart of sales by product. One page is enough.
A worked example (hypothetical)
Say a seller of foodstuff in Ibadan processes one week of orders. These numbers are made up for illustration.
| Product | Qty sold | Unit price | Sales |
|---|---|---|---|
| Rice 50kg | 12 | ₦80,000 | ₦960,000 |
| Beans 25kg | 10 | ₦45,000 | ₦450,000 |
| Garri 10kg | 30 | ₦9,000 | ₦270,000 |
| Palm oil 5L | 8 | ₦14,000 | ₦112,000 |
Total sales are ₦1,792,000. Suppose she collected ₦1,500,000. The pivot table shows ₦292,000 outstanding, and ₦180,000 of it belongs to two customers. That is a list she can message today. She also sees that garri sells the most units but rice brings in over half the money, so a stock shortage in rice costs her more.
To estimate profit, add a Cost price column and a Profit formula (unit price minus cost price, times quantity). Use your real supplier prices, and remember to subtract transport and packaging.
Common mistakes
Making it a routine, or a paid service
For your own business, spend 20 minutes every evening entering that day's orders. Daily entry is far easier than a Sunday backlog. If typing is the pain point, AI extraction on a short daily batch saves time, but your checks still apply.
As a service, many small sellers would pay someone to do this monthly. Show a before-and-after sample using your own made-up data, price per month of records instead of per hour, and agree in writing that you'll handle their data privately. Our post on realistic AI side income ideas covers how to find first clients.
Data costs matter. Sheets works offline in the mobile app if you enable offline access beforehand, so you can enter data during a power or network cut and sync later.
Frequently asked questions
Can I do this without any AI tool?
Yes. The spreadsheet and pivot table do the real work. AI only saves typing time when you have many messy messages.
What about Ghana, Kenya or South Africa?
The method is the same. Change the currency format (GH₵, KSh, R) and, if you record mobile money payments, add a Payment method column such as MoMo or M-Pesa so you can reconcile with your statements.
Is it safe to paste customer chats into an AI tool?
Only after removing identifying details, and check the tool's privacy settings. If you can't remove them, type the data into the sheet by hand.
How often should I produce the report?
Weekly for cash follow-up, monthly for decisions about stock and pricing.
Your next step
Take today's WhatsApp orders only, remove phone numbers, and build the nine-column table for them. Once the totals match your payment alerts, you have a process you can repeat tomorrow.
Results from any side hustle or online work vary widely, and nothing here is a promise of income. Be wary of anyone who asks you to pay upfront to start earning.
